Workshop examples from the FLIP Project Template

As mentioned in the Construction Workshop synopsis a Project Template and accompanying documentation has been created to supplement and improve this Construction Workshop. On this page you will find a series of examples showing some of the content of both the Project Template and the documentation. The first example below shows the basic structure of the project; Phases, Steps and Tasks.

FLIP example 1

This example is from the very begininng of the FLIP template and as you can see it is divided into Phases each one reflecting a chapter in the ITIL Lite book. Then the Phases are divided into logical Steps to make the pahses easier to work with and then, where necessary the Steps are subdivided into Tasks. Complete all the Tasks and you complete a Step, complete a Step and you complete a Phase, complete all the Phases and you have completed the project. This method makes the FLIP Project Template easy to follow and manage. The next example shows the main columns and fields for managing and monitoring the Phases, Steps and Tasks. Note that the green cells are calculated automatically and the pink cells are entered manually so totals etc. are calculated dynamically.

As you can see the Activity Status shows the progression of the project while the workload is measured and costed likewise for purchasing of technology or external services. Total Cost to Date cells are the sum of the Cost column and the Difference between the Budgeted and Purchased columns. Next we have the Start and End dates.

FLIP Example 5

The Target Start, Target End, Actual Start and Actual End allow you to keep control of the project while the Slippage in Days column shows the status of the project. The overall Totals from each Phase are automatically updated on a Master Sheet so that Project Managers have a quick point of reference.

When the Project gets to Gap Analysis there are a series of blank tamplate that can be used to plot the actions that need to be taken to close the Gap between the current status and the target status.

As you can see the Project Templates for Gap Analysis are similiar to the main template except that they have Defect and Action columns where the Defects are the reasons that the Gap is not as per Target while the Action column is to list the Actions that need to be taken to close the Gaps. There are over 15 documents and forms built into the Project here is just one example:

This template is used to plot the different Categories of the ITIL Components. After a lecture on Categorizing delegates will be asked, using PowerPoint, to re-arrange these Components into the Categories that apply best for their organization and then discuss their allocations with the presenter. This has just been a sampler to allow you to understand better the scope of the ITIL FLIP Construction Workshop
